Summary
To oversee the administrative requirements of internal and external customers, customer service staff, and shipping and receiving staff. The position requires maintaining an ultra-high level of internal and external customer satisfaction. Since the
position requires a high-level of direct customer interaction, a pleasant disposition and a "whatever it takes"
attitude must always be exhibited. Reports to the Director of Operational Support



Duties and Responsibilities

Customer Service

Oversee and assist the processing of information upon receipt of customer purchase order. Contact customer regarding incomplete or missing information.
Assist in researching the technical requirements of the customer. Provide previous processing information, prints, notes and/or quote information for the first step in job creation.
Oversee and assist the creation of the complete job packet, including all information stated in job creation step.
Oversee and assist the preparation of all necessary documents required by the customer and transporting company, and internal controls upon completion of a job.
Oversee and assist in the shipment of customer goods through direct customer contact prior to customer request.
Oversee the maintenance of accurate controls of customer purchase orders and specific requirements.
Assist/take the lead with customer issues: RMA's, Recert, needing copies of certs/invoices etc.
Assist with Production, Dock, and Final inspection to ensure smooth paperwork flow.
Oversee/assist that all invoicing is completed and scanned into Dockstar in a timely manner
Oversee that all aspects of Imagineering's Quality Management System are being followed by both the Shipping and customer service team
Oversee/assist with recording, creating, gathering information for IFT Operations / QMS metrics
Continuous improvement of various techniques performed within the duties of the position to improve productivity, efficiency, and the cost-effectiveness of the process.
Approve vacations and make coverage plans

Duties and Responsibilities

Shipping and Receiving

Make sure all jobs/materials are checked in following IFT procedures
Schedule the truck for plant-to-plant transfers
Work to improve shipping and receiving efficiency
Work to improve the accuracy of shipping counts
Work to get all facilities following the same workflow/procedures
Develop dock personnel to make them independent workers
Continuous improvement of various techniques performed within the duties of the position to improve productivity, efficiency, and the cost-effectiveness of the process
Approve vacations and make coverage plans


Job Requirements

Expert level. Applies job skills and company's internal procedures and policies to complete routine tasks. Assignments vary in routine and nature where average to advanced problem solving, decision making, understanding of instructions, and communication skills with all levels of plant personnel will be necessary.

Knowledge/Experience
Must possess good written, oral communication and keyboarding skills. Experience and knowledge of Microsoft Word and Excel is required. A high school degree is required and at least two years of previous experience in an office setting preferred. Communication and conflict resolution are necessary skills to work with individuals both internally and externally. And have intellectual ability to process information and make accurate decisions about the job tasks.

Continuing Education

The individual is encouraged to complete at least 24 hours of job-related training per year. This may be accomplished through University-level courses, seminars, continuing education courses, or as approved by the Executive Management Committee.
