Production Administrator (Manufacturing)



General Description:

The Production Administrator's role is to provide clerical and organizational support, ensuring the smooth and efficient operation of the Prepared Meals department. This role is responsible for tasks including organizing production schedules, generating production line reports, maintaining records, data entry, inventory input, compliance efforts, and extensive communication with internal and external stakeholders.

This role reports to the Executive Chef and works in a close collaborative manner, on-site, with each leader among the team.

Key Responsibilities and Essential Functions:

  • Production Analysis: Capturing daily production output rates, managing internal SKU tracking, calculating productivity, input of production-line forecast and completion data
  • Inventory Control:   
    • Maintain accurate and timely ERP enterprise data (e.g., item, lot, etc.) and ensure prompt, complete setups to support efficient and accurate inventory recordkeeping
    • Ensure timely and accurate entry of inventory transactions, encompassing production, adjustments, movements, and order preparation.
  • Record Keeping: Maintaining databases, filing systems, record retention, file digitization and other records. Verifying completing of compliance records.
  • Information Gathering: Compiling information for data entry, production line software input, presentations or reports. 
  • Compliance: Assist with basic clerical food safety Prerequisite Programs (PRP), including but not limited to:
    • Trace Recall
    • Labeling Approval
    • Material Safety Data Sheets (MSDS)
  • Scheduling: Coordinating and scheduling team meetings, collaborating on production planning efforts, scheduling and tracking preparation of key events, tracking Actions in Progress
  • Communication: Agenda-building of daily end-of-shift meetings, generating daily team work orders and prep material from the production-line software system.
  • Other duties as assigned

Qualifications:

  • High School graduate/GED equivalent
  • Proficiency in MS Office; Powerpoint, Word, Excel, Outlook; ability to quickly learn enterprise software systems
  • Experience using ERP System (CERES/Microsoft Nav/Dynamics or other) preferred
  • Working knowledge of regulatory requirements (i.e. FDA, USDA, etc.) and current industry best practices
  • 1+ years experience in an Administrative or Assistive role
  • Ability to define problems and provide valid solutions drawn from data
  • Strong communication and organization skills
  • Ability to work in a team environment as well as independently.
  • Ability to prioritize and multi-task
  • Strong analytical skills
  • Excellent time management
