Contracts Administrator (Finance)



Job Description

The Contracts Administrator provides front-line administrative support to the Contracts team by managing shared inboxes, coordinating ServiceNow tickets, and directing internal stakeholders to the appropriate resources. This role is primarily focused on intake, tracking, and general support-not on handling or advising on contract content.

Salary: The compensation for this role will be commensurate based on education and/or experience.

What You'll Be Doing:

  • Monitors and manages the contracts team inbox, sorting and directing emails to the appropriate contacts.
  • Triages and routes ServiceNow tickets to the correct team members based on request type.
  • Acknowledges incoming requests and provide basic status updates or next steps (e.g., confirming receipt, redirecting to appropriate contacts).
  • Facilitates bond requests and renewals.
  • Completes certificate of insurance requests and customer new vendor forms.
  • Tracks and updates request logs or dashboards to support team visibility and performance metrics.
  • Supports document filing, organization, and naming conventions on shared platforms like SharePoint or network drives.
  • Directs team members to the correct forms, portals, or points of contact-without providing guidance on contract terms or policies.
  • Assists with basic admin tasks such as scheduling meetings, preparing folders, or updating team trackers.
  • Contributes to the continuous improvement of helpdesk and ticket resolution processes.

What We're Looking For:

Education:

  • High School Diploma or equivalent required.

Experience:
  • 1-2 years of administrative or helpdesk support experience, preferably in a corporate or operations setting.
  • Familiarity with shared inboxes, ticketing systems (e.g., ServiceNow), and standard office software.
  • Strong attention to detail and ability to stay organized with multiple incoming requests.
  • Excellent communication and customer service skills.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Organized and responsive.
  • Service-oriented and approachable.
  • Dependable with strong follow-through.
  • Comfortable with repetitive tasks and high-volume workflows.
  • Able to work independently, problem solve and escalate when needed.

Physical:
  • The role requires mobility within work environments, use of office equipment, lifting up to 20 pounds, clear vision and hearing, effective communication skills, and occasional travel for meetings and training sessions.
